Job Description

ESSENTIAL JOB FUNCTIONS  

  • Maintains document management system for adjudicatory matters before the Board. 

  • Maintains docket of all matters before the Board, creates tickler report for deadlines and maintains OGC Workload Report 

  • Works with General Counsel to assign hearing officers to public proceedings and coordinates scheduling of hearings. 

  • Compiles and distributes materials for monthly Board meetings and assists with coordination of board meetings, including ordering meals. 

  • Prepares and formats memoranda correspondence and other legal documents. 

  • Handles routine administrative requests and matters for OGC, including, but not limited to, filing, typing, scanning, scheduling, screening calls and managing calendars. 

  • Responds to requests from general public and redirects items to appropriate staff members. 

  • Prepares and distributes meeting minutes and votes of Board meeting. 

  • Proofreads documents. 

  • Coordinate with other department administrators to ensure efficient operations 

     

In addition, may perform one or more of the following functions for assigned department: 

  • Drafts and issues subpoenas and tracks response dates. 

  • Schedules appointments and meetings. 

  • Schedules and confirms court reporters and processes invoices for payment 

  • Responsible for document retention of case files on and offsite. 

  • Responsible to maintain website calendar, enter livestream links in the calendar, and to post decision on the website 

  • Schedules staff meetings and Prehearing Conferences 

  • Assists with Board Members with Duty Review 

  • Sets up Board Room for monthly meetings 

OTHER DUTIES AND RESPONSIBILITIES  

  • Performs additional duties as assigned. 

     

PREPARATION, KNOWLEDGE, SKILLS & ABILITIES 

  • High school diploma. 

  • Minimum five years’ prior legal administrative experience. 

  • Familiarity with case management software. 

  • Familiarity with word processing software. 

  • Data entry skills. 

  • Strong organizational skills. 

  • Ability to maintain highest level of confidentiality. 

  • Ability to prioritize and work well independently. 

  • Attention to detail. 

SUPERVISORY RESPONSIBILITY 

  • No supervisory responsibility. 


WORKING COND ITIONS/PHYSICAL DEMANDS

  • Normal office working conditions including frequent sitting and computer monitor use. 
  • At least two days per week in the Boston office. 

  • Occasional lifting up to 25 lbs.
