Job Summary: We are looking for an experienced and customer service-oriented Office Manager to oversee the day-to-day operations of our busy pediatric practice. The ideal candidate will be a strong leader, a team player, and someone who is committed to our vision of exceptional care. This role involves managing administrative tasks, ensuring smooth operations, and fostering a positive and supportive work environment.

Key Responsibilities:
Office Operations:

  • Oversee the day-to-day operations of all departments in the office, ensuring that all tasks are completed efficiently, effectively, and with an emphasis on customer service.
  • Coordinate with healthcare providers to ensure that patient care is seamless and timely.
  • Maintain a clean, organized, and welcoming office environment.

Team Management:

  • Lead and motivate all office staff, fostering a collaborative and positive team culture.
  • Conduct regular staff meetings to communicate updates, address concerns, and provide feedback.
  • Assist in training and mentoring new staff members, ensuring they are well-equipped to perform their duties.
  • Address and resolve any staff conflicts or issues in a timely and professional manner.

Customer Service:

  • Ensure that all patients and their families receive exceptional customer service.
  • Handle patient inquiries and concerns with empathy and professionalism.
  • Collect and respond to patient feedback, making necessary improvements to enhance the patient experience.

Compliance and Safety:

  • Ensure that the office complies with all relevant healthcare regulations and standards, including HIPAA and OSHA.
  • Implement and maintain safety protocols to protect patients and staff.
  • Stay informed about industry trends and best practices, and implement them as appropriate.

Human Resources:

  • Manage payroll, ensuring timely and accurate processing.
  • Oversee the onboarding process for new staff, including orientation, training, and documentation.
  • Administer and manage employee benefits, including health insurance and retirement plans.
  • Handle employee relations, including performance evaluations, disciplinary actions, and conflict resolution.


Qualifications:

  • Education: Minimum bachelor’s degree.
  • Experience: At least 3-5 years of experience in office management, preferably in a private medical practice setting.


Skills:

  • Strong leadership and interpersonal skills with a high level of professionalism.
  • Excellent communication and customer service skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office, including Word and Excel.
  • Experience with electronic medical records (EMR) systems.
  • Knowledge of basic accounting principles to help plan, prepare, analyze, and monitor revenue and expense budgets and reports.
  • Administrative knowledge to support human resources and office workflow.
